Overview
This article answers common questions about creating, managing, and organizing document configurations in Azure Documenter.
Business value
Understanding how document configurations work reduces setup time and prevents common mistakes that lead to empty, incorrectly scoped, or misdirected reports.
How it works
Document configurations are created through the 7-step Configure your document wizard (Basics → Service principal → Branding → Publish settings → Schedule → Notifications → Review) and managed from the document configurations list. The questions below cover the most frequently asked configuration questions.
FAQs
-
Can I change the document type of an existing configuration?
No. The document type is selected in the Basics step when the configuration is created and cannot be changed after saving. To generate a different document type for the same subscription scope, create a new configuration and select the required type. -
Can I add multiple schedules to a single configuration?
Yes. In the Schedule step, click + Add schedule to add more than one recurring schedule to the same configuration — for example, a weekly schedule for operational review and a monthly schedule for executive reporting. See Scheduling recommendations. -
What happens when I click Generate in the Review step?
Clicking Generate in the Review step saves the configuration and immediately triggers a document generation using all settings defined in the wizard. The document is published to the configured destination. The configuration is not saved until you click Generate or close the wizard after confirming — exiting before that step discards unsaved changes. -
Can I preview a document before generating it?
Yes. In the Review step of the Configure your document wizard, click Preview document to review the document content and structure before committing to a full generation. Preview does not publish the document. -
What happens to scheduled generations if I edit a configuration?
Editing a configuration updates its settings immediately. The next scheduled generation run uses the updated settings. Any generation already in progress at the time of the edit completes using the previous settings. -
What is the effect of deleting a configuration?
Deleting a configuration permanently removes it and all its settings from Azure Documenter. Previously generated documents already published to Azure Storage or Document360 are not deleted — only the configuration itself is removed. Any future scheduled generation for that configuration is also cancelled. -
Can I use the same Service principal in multiple configurations?
Yes. A Service principal can be selected in the Service principal step of multiple configurations. This is useful when several configurations cover overlapping subscription scopes that the same Service principal can access. See Subscription scope strategy. -
What access is required to create and manage document configurations?
The Account owner, Owner, and Contributor roles have full access to the Documentation tab by default. Users with a custom role require the Documentation permission set to Manage to create, edit, and delete configurations. Read permission allows viewing only. See Managing document configurations for the full permissions table.
