Overview
Email templates let you define a reusable layout for email notifications sent by Turbo360. You can customize the header, footer, and color scheme of each template. Once created, a template is available for selection when configuring notification channels across all four Turbo360 modules.
Business value
Consistent, branded email notifications improve clarity for alert recipients and reduce the effort of configuring notification appearance module by module. A single template can be reused across Cost Analyzer, Business Applications, Business Activity Monitoring, and Azure Documenter.
Prerequisites
You must be signed in as the Account owner to access Email templates.
Required permissions
Only the Account owner can access and manage Email templates. Other users cannot view the gear icon in the top-right corner of the application.
Dependencies
- An active SMTP or Turbo360 mail notification channel configured in your account.
- Email templates are only effective for accounts using SMTP or Turbo360 mail as a notification channel.
How it works
Each email template defines the visual structure of outgoing Turbo360 notification emails. A template consists of:
- Name — a label used to identify the template when assigning it to a notification channel.
- Caption fields — Header Text, Footer Text(1), and Footer Text(2) define the text content displayed in the corresponding areas of the email.
- Color settings — Header font color, Body primary font color, Body secondary font color, Body BG, Footer font color, and Footer BG control the visual appearance.
A live preview is displayed alongside the template editor as you configure it.
Once saved, a template appears in the Email template dropdown when configuring notification channels for any Turbo360 module.
Steps
Use the following steps to create, edit, delete, and assign email templates. Navigate to Settings > Email templates to get started.
Create an email template
Creating an email template defines a reusable branded layout that can be assigned to notification channels across any Turbo360 module.
- Navigate to Settings > Email templates.
- Click Add Email template.
- Enter a Name for the template.
- Define the caption fields: Header Text, Footer Text(1), and Footer Text(2).
- Choose color codes for: Header font color, Body primary font color, Body secondary font color, Body BG, Footer font color, and Footer BG.
- Click Save to create the template.
A preview of the template is displayed on the adjacent side as you configure it.
Edit or delete an email template
Editing a template updates its appearance for all notification channels it is currently assigned to; deleting it removes it from the selection list and replaces it with the system default on any assigned channel.
- Navigate to Settings > Email templates.
- To edit — click the template name or the edit icon, make your changes, and click Save.
- To delete — click the delete icon next to the template and confirm the deletion.
Assign a template to a notification channel
Assigning a template to a notification channel applies its branded layout to all emails sent through that channel.
- Navigate to the notification channel configuration for your chosen module.
- Select your template from the Email template dropdown.
- Save the notification channel configuration.
To update the template assigned to an existing notification channel in Azure Documenter:
- Navigate to the Notifications section for the relevant configuration.
- Click Edit on the respective notification entry.
- Select a new template from the Email template dropdown.
- Save the change.
Email templates are applicable to all four modules of the Turbo360 application.

Permission behavior
With access (Account owner):
You can create, edit, and delete email templates, and assign them to notification channels across all modules.
Without access (all other roles):
The gear icon in the top-right corner of the application is not visible. The Email templates screen is inaccessible.
Example scenario
Your team uses SMTP as its notification channel and receives alerts from both Business Activity Monitoring and Azure Documenter. As the Account owner, you create a branded email template with your company's color scheme and header text. You then assign this template to the notification channels in both modules, ensuring all alert emails share a consistent appearance.
Limitations
- Email templates are only available for accounts using SMTP or Turbo360 mail as a notification channel. Other notification channel types (such as Microsoft Teams) do not support email templates.
- Only the Account owner can create, edit, or delete templates.
- Deleting an actively assigned template may alter the format of outgoing notifications, as the notification channel will automatically use the system template instead.
Troubleshooting

Email template dropdown is not appearing when configuring a notification channel.
Cause: The account does not have SMTP or Turbo360 mail configured as a notification channel.
Fix: Verify that your account has SMTP or Turbo360 mail configured. The dropdown is only available for email-type channels. -
Template changes are not reflected in outgoing notifications.
Cause: The template may not have been saved after editing, or the updated template is not assigned to the notification channel.
Fix: Ensure you clicked Save after editing the template. Check whether the updated template is still assigned to the relevant notification channel configuration. -
Gear icon is not visible.
Cause: The gear icon is only visible to the Account owner.
Fix: If you cannot see it, your account role does not have access to Email templates. Contact your Account owner. -
Template cannot be edited or deleted.
Cause: Template edit and delete actions are role-dependent.
Fix: Confirm that you are signed in as the Account owner. -
Preview is not displaying correctly.
Cause: Required fields may be missing or the color codes may not be valid hex values.
Fix: Ensure all required fields are populated and the color codes are valid hex values.
