Global price catalog

Overview

The Global price catalog lists every paid license type your account has purchased, the agreement it is billed under, and the cost of one seat. Every cost in Tenant Manager is worked out from these prices: purchased, assigned, and unassigned cost, savings, and reports.

Where Tenant Manager can read the invoiced price, it shows it. Where it cannot, or where you want a different figure, the Turbo360 account owner or a module owner can set a custom price per seat.

Business value

Accurate prices make the savings that Tenant Manager reports believable. Without a price, a license adds nothing to the cost totals. A custom price lets you work with the figure you really pay, for example under an Enterprise Agreement, where Microsoft does not share seat prices.

Prerequisites

Before you use the catalog, connect at least one tenant and complete its first sync. See Connect a Microsoft 365 tenant.

Required permissions

Any Tenant Manager user can view the catalog. Only the Turbo360 account owner and a module owner can set or remove a custom price. A module owner is a user whose Owner role covers all of Tenant Manager. An Owner role that covers only a tenant group or a tenant does not count. For details, see Roles and permissions in Tenant Manager.

Role Access
Turbo360 account owner View the catalog, and set or remove a custom price. This is the owner of the Turbo360 account, not a Tenant Manager role.
Owner View the catalog, and set or remove a custom price. The Owner role must cover all of Tenant Manager.
Contributor, Reader View the catalog only.
Custom role View the catalog only.

The catalog lists only the tenants in your scope.

Dependencies

  • Billing access: to read invoiced prices, the connection to the tenant needs the Billing account reader role on the tenant's Microsoft Customer Agreement billing account. Ask your Microsoft Entra administrator to grant it.

How it works

Select the gear icon in the Tenant Manager sidebar header, and then select Global price catalog. The catalog opens as a dialog with one row for each license product across the tenants in your scope.

Rows and columns

Free and trial licenses are left out, because nothing is paid for them. Rows are sorted by purchased cost, then by purchased seats, highest first.

These columns are shown by default.

Column What it shows
License type The display name of the license, or its SKU when there is no name.
Billing type The agreement the license is billed under, as a badge.
Price per unit The cost of one seat per month, with a badge for the price source.
Tenants The number of tenants that hold the license.
Purchased, Assigned, Unassigned The seat counts across those tenants. Column options names them Purchased seats, Assigned seats, and Unassigned seats.
Purchased cost Purchased seats times the price per unit, per month. It is what you are billed whether or not the seats are used.
Assigned cost Assigned seats times the price per unit.
Unassigned cost Unassigned seats times the price per unit. This is the part of the bill for seats that no user holds, and the money Optimization aims to save.

You can also show the SKU column, which is hidden by default.

Price source, billing type, and coverage

A badge on the price tells you where it comes from. Actual is what the tenant was billed for one seat a month, taken from its Microsoft Customer Agreement billing account for the last closed month. Custom is a price someone in your account set. A custom price replaces the invoiced price. For Enterprise Agreement, MOSA, and CSP billing, Microsoft does not report seat prices, so a custom price is the only price.

A range appears when the tenants that hold a license do not all pay the same price. A dash or "NA" means no price was found. It does not mean the license is free.

The Billing type badge shows MCA when the price is Actual. The other values are EA, MOSA, CSP, No billing access, No billing account, and Not checked. Hover over a badge for a hint about what to do. For example, No billing access means the connection has no billing role.

If some tenants have no price for a license, the Tenants cell shows a warning. The costs on that row cover only the tenants that do have a price, so they are lower than the full amount. The Total row adds up the paid licenses that have a price, and notes how many paid licenses have none. The catalog shows every price in one currency: your tenants' billing currency when they all share one, otherwise US dollars. Prices that cannot be converted keep their own currency and get their own subtotal.

Steps

The steps below cover setting and removing a custom price and choosing columns. You start in the Global price catalog dialog.

Set a custom price

This procedure gives a license the price per seat that you pay. You need to be the Turbo360 account owner or a module owner.

  1. In the Price per unit cell of the license, select the pencil icon. Its tooltip reads "Set a custom price".
  2. Read the note. It says that the custom price replaces the invoiced price and applies to every tenant in your scope that holds the license.
  3. Enter the price in Price per seat per month. The label shows the currency. The Edit price dialog shows the default price, and previews Purchased cost, Assigned cost, and Unassigned cost at the price you type.
  4. Select Save.

A message confirms that the price for the license was saved. When you close the catalog, Tenant Manager recalculates the costs and savings on the pages you have open. You cannot set a price on a row that has no part number, or on a trial license.

Change or remove a custom price

This procedure edits a custom price, or goes back to the default price.

  1. Select the pencil icon in the Price per unit cell. Its tooltip reads "Edit or remove the custom price".
  2. To change the price, enter a new value and select Save.
  3. To remove it, select Use the default price, read the Remove custom price confirmation, and select Continue.

The confirmation says what the license goes back to. If nothing else prices the license, it shows as not priced and its costs are not counted.

Choose the columns

This procedure shows or hides columns in the catalog.

  1. Select Column options.
  2. Tick the columns you want to show. A column with a grayed-out box is always shown.
  3. To change the order, drag a row.

Tenant Manager remembers your choice in your browser.

Configuration

The only setting in the catalog is the custom price.

Option Description
Price per seat per month The custom price for one seat, in the currency shown in the label. It applies to every tenant in your scope that holds the license.

Permission behavior

What you can do in the catalog depends on your role.

  • As the Turbo360 account owner or a module owner, the pencil is available.
  • For every other role, including an Owner on a tenant group or a tenant only, the pencil is disabled. Hover over it to see "Only the account owner and Tenant Manager owners can change prices."

Example scenario

Bluebell Dairy buys Microsoft 365 E3 through an Enterprise Agreement, so the catalog shows EA in Billing type and no price. The costs on the Optimization pages for that license are missing.

Liam O'Connor is a module owner. He opens the Global price catalog, selects the pencil on the Microsoft 365 E3 row, and enters 34.00 as the price per seat per month. The preview shows the Unassigned cost at that price. He saves, closes the catalog, and the savings on Optimization now include the unused E3 seats.

Limitations

  • Only the Turbo360 account owner and a module owner can set or remove a price.
  • A custom price applies to every tenant in your scope that holds the license. You cannot set it for one tenant only.
  • Free and trial licenses are not listed and cannot be priced.
  • When some tenants have no price for a license, the costs on that row are lower than the full amount.
  • Totals do not add different currencies together. Prices that cannot be converted get their own subtotal.

Troubleshooting

  1. The price shows NA.
Cause: the license has no invoiced price and no custom price. Invoiced prices need a Microsoft Customer Agreement and the Billing account reader role.
Fix: ask your administrator to grant the Billing account reader role on the billing account, or set a custom price.

  2. The Billing type badge says No billing access.
Cause: the connection to the tenant has no billing role.
Fix: ask your Microsoft Entra administrator to grant the Billing account reader role on the billing account.

  3. The pencil is disabled.
Cause: you are not the Turbo360 account owner or a module owner, or your Owner role covers only a tenant group or a tenant.
Fix: ask the Turbo360 account owner or a module owner to set the price, or to change your role.

  4. The costs on a row look too low.
Cause: some of the tenants that hold the license have no price. The warning in the Tenants cell names them.
Fix: set a custom price so that every tenant is priced.

  5. The catalog says "Could not load the price catalog".
    Cause: the read failed.
Fix: close the dialog and open it again.

FAQs

  1. Does a custom price replace the invoiced price?
Yes. A custom price replaces the invoiced price for that license on every tenant in your scope. Remove it to go back to the default.

  2. Which figures use the prices?
Purchased, assigned, and unassigned cost, the savings on Overview and Optimization, and reports.

  3. Why is a license missing from the catalog?
The catalog lists paid licenses only. Free and trial licenses are left out, and a license appears only when a tenant in your scope holds it.

  4. Is a price change recorded?
Yes. Setting or removing a custom price is recorded in user activities as "Updated - Custom price - {license}" or "Removed - Custom price - {license}", with one entry for each tenant the price applies to. The details show the license, the tenant, and the price, or None when the price was removed. See Tenant Manager user activities.
