Each tenant group shows one set of totals for the tenants inside it, and you can give people access to a whole tenant group at once. This article shows you how to create, edit, move, and delete tenant groups. For how tenant groups and tenants relate, see [Understanding tenant groups](https://docs.turbo360.com/docs/understanding-groups-and-tenants). ### Business value A tenant group structure that mirrors how your organization works, such as one tenant group for each region or customer, lets you read license totals and findings for that part of the business. It also lets you scope user access to the same boundaries. ## Prerequisites Before you start, make sure that Tenant Manager has a top-level tenant group. Turbo360 creates it when you connect your first tenant. See [Connect a Microsoft 365 tenant](https://docs.turbo360.com/docs/connect-a-microsoft-365-tenant). ### Required permissions You need the **Manage groups** permission on the tenant group you work with. The **Owner** and **Contributor** roles include it. The **Reader** role doesn't. For details, see [Roles and permissions in Tenant Manager](https://docs.turbo360.com/docs/tenant-manager-roles-and-permissions). If your access is limited to some tenant groups or tenants, you can manage only the tenant groups in your scope. The grant nearest to a tenant group decides what you can do there. ## How it works Tenant groups form a tree. This section covers the tree, the rule for names, and what each action does to the tenants inside a tenant group. The tree starts at a top-level tenant group that holds everything else. Each tenant group can contain nested tenant groups and tenants. Open the context menu ( ⋮ ) of a tenant group in the tree view to reach **Edit**, **Add tenant**, **Create group**, **Move**, and **Delete**. The top-level tenant group has no **Move** or **Delete**. The menu entries and dialogs call a tenant group a group, for example **Create group**, **Edit group**, and **Move group**. Names must be unique across Tenant Manager, not only within a parent tenant group. Totals for a tenant group are added up from the last sync of each tenant inside it, so a tenant group has no sync of its own. Moving or deleting a tenant group changes those totals straight away. Access can be given on a tenant group. Moving a tenant group changes who can see it, as described in the steps below. Every tenant group change is recorded in the Tenant Manager user activity log. ## Steps You manage tenant groups from the tree view in Tenant Manager. Open **Tenant Manager**, then open the context menu ( ⋮ ) of the tenant group you want to work with. ### Create a tenant group This procedure adds a nested tenant group inside the tenant group you opened the menu on. 1. Select **Create group**. The **Create group** dialog opens. 2. Enter a **Name** for the tenant group and, optionally, a **Description**. 3. Select **Save**. The button reads **Saving...** while Tenant Manager creates the tenant group. Tenant Manager confirms that the tenant group was created, and it appears in the tree. ### Edit a tenant group This procedure renames a tenant group or changes its description. 1. Select **Edit**. The **Edit group** dialog opens with the current values. 2. Change the **Name**, the **Description**, or both. 3. Select **Update**. **Update** stays disabled until you change the name or the description. You can edit the top-level tenant group too, for example to rename it. Only **Move** and **Delete** are not available for it. ### Move a tenant group This procedure moves a tenant group, with every nested tenant group and tenant inside it, to a different parent tenant group. 1. Select **Move**. The **Move group** dialog opens. 2. Select the destination tenant group in the tree. The dialog shows the **From** and **To** paths. You can search for a tenant group by name. 3. Select **Move**. 4. Read the confirmation, and select **Continue**. The confirmation explains that every nested tenant group and tenant moves with the tenant group. Users whose access was given on the current parent tenant group no longer see the tenant group, and users with access to the destination tenant group can see it. The seat and license numbers count under the new parent tenant group straight away. No tenant data changes. Some tenant groups can't be chosen, and the tree marks them: the tenant group itself, any tenant group inside it, and its current parent. If you select a tenant group you don't have access to, the selection clears and the dialog shows "You do not have access to {name}. It is shown only because you have access to something inside it." **Move** stays disabled until you select a tenant group you have access to. ### Delete a tenant group This procedure removes a tenant group and everything inside it from Tenant Manager. Warning: Deleting a tenant group also deletes every nested tenant group and tenant inside it. Turbo360 stops syncing each of those tenants. Nothing changes in Microsoft 365. You can't undo a delete from Tenant Manager. 1. Select **Delete**. 2. Read the confirmation. It lists how many tenant groups and tenants the delete includes. 3. Select **Continue**. To keep the tenant group, select **Cancel** instead. Deleting a tenant group removes its tenants the same way as deleting each tenant. For what is lost, see [Managing Microsoft 365 tenants](https://docs.turbo360.com/docs/managing-microsoft-365-tenants). ## Configuration The **Create group** and **Edit group** dialogs use these fields. | Option | Required | Description | | --- | --- | --- | | Name | Yes | Identifies the tenant group. It must be unique across Tenant Manager. | | Description | No | What the tenant group is for, in your own words. | | Destination group | Yes, to move | The new parent of the tenant group. Chosen in the **Move group** dialog. | ## Permission behavior What you can do depends on your role and your scope. - Without **Manage groups**, **Edit**, **Create group**, **Move**, and **Delete** are faded. **Add tenant** follows **Manage tenants**. Hover over a faded entry to see "You are not authorized to perform this operation". - A tenant group that you can't access but that contains something you can access appears grayed out in the tree, with no menu. Hover over it to see why it is shown. - If you try to act on a tenant group outside the access you were given, Tenant Manager refuses the action. - You can't use a tenant group you don't have access to as a destination when you move a tenant group. ## Example scenario Daniel Reyes manages Microsoft 365 for Adventure Works, which has several regional subsidiaries. His tree has a top-level tenant group named "Adventure Works". He opens the context menu of "Adventure Works", selects **Create group**, and names the new tenant group "Benelux". He creates a second tenant group named "Western Europe" the same way. Later, the company decides that Benelux belongs under Western Europe, so he opens the context menu of "Benelux", selects **Move**, chooses "Western Europe" as the destination, and selects **Continue** after reading the confirmation. Finally, he opens the context menu of "Western Europe", selects **Edit**, and adds a description so his team knows what the tenant group covers. ## Limitations - You can't move or delete the top-level tenant group. - You can't choose the parent when you create a tenant group. It is the tenant group whose menu you opened. To change it, move the tenant group afterward. - Tenant group names must be unique across the whole module, not only within a parent tenant group. - A tenant group shows an Overview page only. It has no **Sync** button, because each tenant syncs on its own. ## Troubleshooting 1. **Create or Edit shows "A group with that name already exists."** Cause: another tenant group in Tenant Manager already uses the name. Fix: choose a different name. Tenant group names are unique across the whole module. 2. **Move shows that the tenant group can't be moved into itself or into a tenant group inside it.** Cause: the destination is the tenant group itself or one of its nested tenant groups, which would cut the tenant group off from the tree. Fix: choose a tenant group outside the one you are moving. 3. **A menu entry is faded, or a tenant group is grayed out and has no menu.** Cause: your role doesn't include **Manage groups** on that tenant group (or **Manage tenants**, for **Add tenant**), or the tenant group is shown only because you have access to something inside it. Fix: ask an administrator who can manage Tenant Manager access, such as a module owner, to grant the permission or access to the tenant group. 4. **Delete or Move shows "That group no longer exists." or that the tenant group may have just been deleted.** Cause: someone else deleted the tenant group while your dialog was open. Fix: reload the page and check the tree. 5. **Update is disabled in the Edit group dialog.** Cause: you haven't changed the name or the description yet. Fix: change one of them, and then select **Update**. ## FAQs 1. **What happens to the tenants when I delete a tenant group?** They are deleted too, along with every nested tenant group. Turbo360 stops syncing them. Nothing changes in Microsoft 365. 2. **What happens to user access when I move a tenant group?** Users whose access was given on the current parent tenant group no longer see the moved tenant group. Users with access to the destination tenant group can see it. 3. **Can I undo a delete?** Not from Tenant Manager. To get a tenant back, connect it again. It starts from a new sync, and its previous data doesn't return. ## Related articles - [Understanding tenant groups](https://docs.turbo360.com/docs/understanding-groups-and-tenants) - [Managing Microsoft 365 tenants](https://docs.turbo360.com/docs/managing-microsoft-365-tenants) - [Connect a Microsoft 365 tenant](https://docs.turbo360.com/docs/connect-a-microsoft-365-tenant) - [Syncing a Microsoft 365 tenant](https://docs.turbo360.com/docs/syncing-a-microsoft-365-tenant) - [Roles and permissions in Tenant Manager](https://docs.turbo360.com/docs/tenant-manager-roles-and-permissions) - [Tenant Manager user activities](https://docs.turbo360.com/docs/tenant-manager-user-activities)
