Overview

This article describes how to manage users in Azure Documenter for a Turbo360 account using email authentication — adding users, assigning roles, managing role assignments, and removing users.

Business value

Managing users directly within Azure Documenter lets account owners and owners onboard, adjust, and offboard access as team composition changes, without needing a separate identity system for email-based accounts.

Prerequisites

Required permissions

Role Access
Account owner, Owner Full access to add users, assign or edit role assignments, and remove users.
Other roles No access to user management actions.

How it works

A user can be assigned a role in either of two ways:

  • Direct role assignment — applies a role across the entire module. For example, assigning Reader directly gives the user read access to all document configurations in the module.
  • Specified access — assigns different roles to different module-specific areas. For example, if an organization has separate Production and Development document groups, a contractor can be restricted from even Reader access to Production by choosing only the groups they should see and assigning a role per group.

Users already added to Turbo360 — members of other modules, or users without any module permission yet — can be added to Azure Documenter from the Existing user tab instead of sending a new activation email.

Steps

Use the following steps to add, manage, or remove users. Go to the Users tab in the User management section of Azure Documenter to get started.

Add a user

Adding a user sends an activation link that grants them access to the module once accepted.

  1. Select Add user.
  2. Enter the user's email address and choose a role assignment method — Direct role assignment or Specified access.
  3. An activation link is sent to the user's email address. The user is added to Azure Documenter once they click the link.
Note:

The activation link is valid for 3 days. After that, the account owner or owner must resend the activation email.

Manage role assignments

Editing role assignments lets you adjust what a user or group of users can access, without removing and re-adding them.

  1. To edit an individual user's role assignments, click Edit permission in the Actions column for that user.
  2. To edit role assignments in bulk, select multiple users, then click Edit permission above the users list.

Remove a user

Removing a user revokes their access to the module.

  1. To remove one user, select Remove user in the Actions column.
  2. To remove multiple users, select them and click Remove above the users list.
Note:

Removing a user from a module doesn't remove them from Turbo360's directory. To remove a user completely from Turbo360, go to Settings > Users and select Remove user there.

Permission behavior

Only Account owner and Owner can add users, edit role assignments, or remove users. No other role — including Contributor — has access to these user management actions.

Example scenario

A contractor needs read access to the Development document group only, with no visibility into Production. They're added using Specified access, with only the Development group selected and Reader assigned for that group.

Limitations

Removing a user from Azure Documenter only revokes their access to this module — they remain in Turbo360's directory and any other modules they belong to. Fully removing a user from Turbo360 requires a separate action in account-level Settings.

Troubleshooting

  1. New user hasn't gained access after being invited
    Cause: The activation link may have expired — it's valid for 3 days.
    Fix: Resend the activation email as the account owner or owner.

  2. A user has broader access than intended
    Cause: The user may have been added with Direct role assignment, which applies the role across the entire module, instead of Specified access.
    Fix: Edit the user's permission and switch to Specified access, selecting only the groups they should have access to.

  3. Removed user still appears in Turbo360's user directory
    Cause: Removing a user from a module only revokes access to that module — it doesn't remove them from Turbo360 entirely.
    Fix: Go to Settings > Users at the account level and use Remove user there to fully remove them from Turbo360.

FAQs

  1. What's the difference between Direct role assignment and Specified access?
    Direct role assignment applies a role across the entire module. Specified access lets you assign different roles to different document groups individually.

  2. Can I add a user who's already part of another Turbo360 module?
    Yes. Users already in Turbo360 can be added from the Existing user tab instead of going through email activation again.

  3. Can I edit role assignments for multiple users at once?
    Yes. Select multiple users in the Users tab, then click Edit permission above the list to update them in bulk.

  4. Does removing a user from Azure Documenter delete their Turbo360 account?
    No. It only removes their access to this module. They remain in Turbo360's directory unless removed separately from account-level Settings.
