Article summary

Overview

User invitations let Turbo360 Account owners add team members to their organization. Invited users receive an email with a link to accept the invitation and complete their account setup. This article covers how to send, manage, and resend invitations.

Business value

Inviting users lets your team access Turbo360 modules with the correct roles from day one. Centralized invitation management from the global settings page ensures that access is granted intentionally and can be revoked before any invitation is accepted.

Prerequisites

Required permissions

Only the Account owner can access this Users page and manage user invitations.

Dependencies

  • The invitee must have a valid email address accessible to them
  • Role assignments must be defined before or during the invitation

How it works

The Account owner sends invitations from the Users section in Turbo360 global settings. Each invitation is tied to a specific email address and role. The invitee receives an email containing a unique acceptance link. When they click the link, they are prompted to create a password (if they do not have an existing Turbo360 account) or are added directly to the organization (if they do).

Once a user accepts the invitation and becomes active, their permissions can no longer be managed from the Users page at the global level. Permissions for active users must be updated at the individual module level within each module's settings.

Steps

  1. Access Users from the gear icon in the top-right corner of the application.
  2. Click Add user.

  3. Enter the invitee's user name and email address.
  4. Select the role to assign. Available roles include: Owner, Contributor, Reader.
  5. Click Add.

  6. The invitee receives an email with an acceptance link. They must click it to join the Turbo360 account.
  7. Once accepted, the user appears in the Users list as active.
Note:

After a user becomes active, permissions cannot be changed from this page. To update an active user's access, go to the relevant module's settings and manage permissions at the module level.

Permission behavior

With Account owner access: You can access the Users page, invite users, view pending invitations, resend invitations, and revoke pending invitations.

Without Account owner access: The global settings will not be available. To update permissions for an active user, contact the Account owner or manage access at the module level.

Example scenario

A Turbo360 Account owner needs to onboard two new team members — a cost analyst and a platform engineer. They invite the cost analyst with a Viewer role and the platform engineer with a full access role. Both receive invitation emails, accept within the day, and become active users. The Account owner then navigates to Cost Analyzer's module settings to refine the cost analyst's permissions at the module level.

Limitations

  • Only the Account owner can manage user invitations. This page is not accessible to other roles.
  • Once a user is active, permissions can only be updated at the module level — not from the Users page in the global settings.
  • Invitations are sent to individual email addresses.
  • A pending invitation cannot be edited. To change the role before acceptance, revoke the invitation and resend with the correct role.
  • Invitees must accept the invitation before they appear in the active users list.

Troubleshooting

  1. Invitee did not receive the invitation email.
Cause: The email may have been filtered as spam or the address was entered incorrectly.
Fix: Ask the invitee to check their spam folder. If the address was wrong, revoke the invitation and resend to the correct address.

  2. Invitation link is expired.
Cause: The invitee did not accept within the expiry window.
Fix: Go to Users, find the pending invitation, and click Resend invitation.

  3. Cannot find the Add user option.
Cause: Your account does not have the Account owner role.
Fix: Ask the Account owner to send the invitation or to grant you the required access.

  4. Invitee accepted but does not appear in the users list.
Cause: Page may not have refreshed after acceptance.
Fix: Refresh the Users page. If the user still does not appear, ask them to confirm acceptance and try again.

  5. Need to update permissions for an active user.
Cause: Permissions for active users cannot be managed from the Users page in the global settings.
Fix: Navigate to the relevant module's settings and update the user's permissions at the module level.
