Tenants and syncing FAQs

Overview

This article answers the most common questions about connecting Microsoft 365 tenants, how Tenant Manager syncs their data, and how tenant groups organize tenants. It is for anyone who has connected, or is about to connect, a tenant and wants to know how fresh the data is and what happens when something is deleted.

Business value

Knowing how syncing and tenant groups behave helps you trust the figures on each page, decide when to run a sync, and delete a tenant group without surprises.

How it works

Questions are grouped by topic, and each answer stands on its own. Tenant Manager reads Microsoft 365 through a sync, and tenant groups organize your tenants in a tree. Where an answer needs more detail, it points to the article that covers the feature. For numbers and defaults, see Limits and defaults. For symptoms and fixes, see Tenant connection issues and Sync and data issues.

FAQs

Connecting and syncing

Tenant Manager reads Microsoft 365 through a sync. Pages, alerts, and reports all show the data from the last sync.

  1. Is the data in Tenant Manager live?
No. Pages show the data from the last sync. Each tenant syncs automatically every 6 hours, and you can't change that interval.

  2. Can I get the latest data sooner than the next scheduled sync?
Yes. Select Sync on the tenant page, or Sync now in the tenant's context menu. You need the Manage tenants permission. Without it, the control is disabled and shows a tooltip.

  3. Why does a change I made in Microsoft 365 not appear in Tenant Manager yet?
Tenant Manager shows the data from the last sync. The change appears after the next sync. This is also why a task you mark as done shows its effect only after a sync.

  4. Why does a warning or error icon appear next to Last synced?
The last sync logged one or more issues. Hover over the icon to read them, fix the cause, and then run a sync.

  5. Do alerts and reports read Microsoft 365 when they run?
No. Both use the data from the last sync. A tenant syncs every 6 hours, so checking or generating more often than that finds nothing new. Generate now on a report does not start a sync.

  6. Is the client secret stored safely?
Connecting stores the client secret in encrypted form. It is encrypted before it is saved and is never shown again.

  7. Why does Tenant Manager ask for the client secret expiration date?
The Client secret expiry alert uses the date to warn you before the secret expires and the tenant stops syncing. If the app registration has Application.Read.All, Tenant Manager fills the date in for you. Otherwise, enter the date shown in Azure under Certificates & secrets.

  8. Can I reuse a service principal that another module saved?
Yes. Select a service principal lists the service principals saved in your account that have a stored client secret, except those used only for Power Automate. A reused service principal always connects its own directory.

  9. Does a manual sync change when the next automatic sync runs?
Yes. Every sync sets the next automatic sync for 6 hours after it starts. Hover over Sync to see when the next one is due.

  10. Can I connect the same Microsoft 365 directory twice?
Not through the same app registration, because every seat and cost would be counted twice. You can connect it through a different app registration, but Tenant Manager warns you that its seats would be counted twice in the totals.

Tenant groups and tenants

Tenant groups organize your tenants in a tree. A tenant group has no data of its own, and its totals add up the tenants beneath it.

  1. Why is there no Sync button on a tenant group?
Each tenant syncs on its own. A tenant group shows the last sync of each tenant inside it.

  2. What happens to the tenants when I delete a tenant group?
They are deleted too, along with every nested tenant group. Turbo360 stops syncing them. Nothing changes in Microsoft 365.

  3. Can I undo a delete?
Not from Tenant Manager. To get a tenant back, connect it again. It starts from a new sync, and its previous data doesn't return.

  4. What happens to the service principal when I delete a tenant?
It stays saved in your account. When no tenant uses it any more, Delete is enabled for it in Settings > Service principals. You can reuse it for another tenant, or delete it there.

  5. Are the Microsoft Entra ID groups in Explore groups the tenant groups I create?
No. They are Microsoft Entra ID groups that the sync read from the tenant. Tenant groups organize tenants in Tenant Manager. See Understanding tenant groups.
