What is Tenant Manager?

Overview

Tenant Manager is the Turbo360 module for managing Microsoft 365 licenses, users, and Microsoft Entra ID groups across one or more Microsoft 365 tenants. You connect each tenant once, and Tenant Manager shows who holds which license, which seats sit idle, and what those seats cost.

Tenant Manager reads your tenants. It changes nothing in them unless an approver approves a task or you switch on an automation rule.

Business value

Unused Microsoft 365 licenses are a steady and easily missed cost. Tenant Manager finds the licenses you pay for but do not need, so you can reclaim them through an approval step instead of by hand.

Teams that manage several tenants get one place to see totals, findings, and alerts. Renewal and credential problems surface as alerts before they interrupt service.

How it works

Tenant Manager connects to your Microsoft 365 tenants, copies the data it needs into Turbo360, and shows that data in a tree of tenant groups and tenants. Connecting a tenant uses an app registration in Microsoft Entra ID, which needs Microsoft Graph application permissions and admin consent. Read permissions are enough to see licenses, users, and Microsoft Entra ID groups. To apply a change from Tenant Manager, the app registration also needs the matching write permission. The rest of this section describes the building blocks, the pages, and how access works.

Tenant groups, tenants, and data sync

Tenant groups and tenants form the structure of the module. A tenant is one connected Microsoft 365 tenant. A tenant group brings related tenants together and shows one set of totals for them. For more information, see Understanding tenant groups.

Data sync keeps the data current. Tenant Manager does not read Microsoft 365 live. Each tenant syncs automatically every 6 hours, and you can start a sync yourself. For more information, see How data sync works.

Pages and settings

Pages present the data. Each tenant has a License management area with five pages. A tenant group has only an Overview page, which adds up the tenants inside it.

Page What it gives you
Overview Paid licenses, the users who hold them, idle and unassigned seats, and the possible monthly savings, from the last sync. On a tenant group, the same totals across its tenants.
Explore Users, Microsoft Entra ID groups, licenses, and change tracking read from the last sync. You can search and filter each list.
Optimization Recommendations for licenses you can reclaim, the tasks that wait for approval, and automations. For more information, see Recommendations and savings.
Alerts Five alert types, the incidents they raise, and the notifications they send. For more information, see Alerts and incident escalation.
Reports User, License, and Cost reports for a tenant, sent by email as PDF or Excel files.

Settings open from the gear icon in the sidebar header: Tenants, Global price catalog, Escalation policies, User management, and User activities.

Access and availability

Access follows Turbo360 roles. Tenant Manager has the built-in roles Owner, Contributor, and Reader, plus custom roles. You can assign a role to the whole module, to a tenant group, or to a single tenant. For more information, see Roles and permissions in Tenant Manager.

Availability depends on your account. Tenant Manager is switched on per account. It is off by default in both Turbo360 SaaS and private hosting, and the Tenant Manager card on the Home page offers Request access. On SaaS, the Turbo360 team switches it on after you request access. On private hosting, it is available when your license file includes it, and you request access to get a license file that includes it.

FAQs

  1. Does Tenant Manager change my Microsoft 365 tenant on its own?
Only in two cases. An approver approves a task, and Tenant Manager then applies the change in Microsoft 365. Or you switch on an automation, which removes licenses under the rules you set. Otherwise Tenant Manager only reads.

  2. Is the data in Tenant Manager live?
No. Pages show the data from the last sync. Each tenant syncs automatically every 6 hours, and you can select Sync on a tenant to get the latest data sooner.

  3. How do I get Tenant Manager for my account?
Tenant Manager is switched on per account. In both Turbo360 SaaS and private hosting, select Request access on the Tenant Manager card on the Home page and describe how you plan to use it. On SaaS, the Turbo360 team switches it on and gets in touch by email. On private hosting, Tenant Manager is available when your license file includes it, and requesting access gets you a license file that includes it.
