Overview
Task planner is a platform-level feature in Turbo360 that lets you create, assign, and track tasks across your organization. You can define custom task groups with configurable states, assign tasks to users within specific modules, set priorities and due dates, and monitor all work from a centralized task board.
Task planner is accessible from the profile drop-down menu.
Business value
Task planner gives operations teams a single place to coordinate work across Turbo360 modules. By aligning task states with your team structure and enabling due-date notifications, you reduce missed deadlines and improve accountability without leaving the platform.

- An active Turbo360 account
- At least one user invited to the organization
Required permissions
All users can access task planner. No role-based restriction applies.
Dependencies
- Users must exist in the organization before they can be assigned tasks.
- Module scope selection at task creation determines which users are available for assignment.
How it works
Task planner organizes work through two building blocks: task groups and tasks.
Task groups define the workflow states available for tasks in your organization. Each group can have any number of custom states. When a state is marked as complete, tasks in that state do not generate overdue notifications, even after the due date passes.
Tasks are individual work items assigned to a specific user within a module scope. Each task carries a state (from the group), a priority level, a start date, and an optional due date. Users receive an email notification when a task is assigned to them.
The task board displays all tasks and supports two grouping modes — by Task State or by User — so you can view workload distribution or progress through states at a glance.
Steps
Use the following steps to create task groups, create tasks, and organize the task board. Open Task planner from the profile drop-down menu to get started.
Create a task group
Creating a task group defines the workflow states available for tasks in your organization, and controls which states suppress overdue notifications.
- Go to Task Groups and click Add task group.
- Add the states your workflow requires. You can create any number of states.
- Enable Mark as complete on any state that should suppress overdue notifications.
- Click Save to create the group.
To modify an existing group, use the Edit option. To remove it entirely, use Delete.
Create a task
Creating a task assigns a work item to a specific user within a module scope, with a priority, start date, and optional due date for notification.
- On the task board, click Add task.
- Select the Module scope. This determines which users are available for assignment.
- Select the user to assign the task to.
- Set the initial task state.
- Set the task priority level.
- Specify the start date. Optionally, set a due date — a notification will be sent before the specified interval.
- Click Save.
Users receive an email notification when a task is assigned to them. Tasks can be re-assigned to a different user after creation.
To edit or delete an existing task, use the buttons on the task board.
Organize the task board
Switching the board layout lets you view work by progress state or by individual user workload.
Use the Group by option to switch the board layout between Task State and User.
Cost Analyzer integration
Task planner integrates with Cost Analyzer to help teams manage cost governance work alongside Azure spend data. When you create a task scoped to Cost Analyzer, assigned users can coordinate optimization follow-ups, budget reviews, and cost analysis actions without leaving the platform.
Certain Cost Analyzer actions automatically create a task in task planner, ensuring follow-up work is captured without manual entry. A task is generated when you:
- Apply a recommended SKU, execute a scheduled rightsizing action, or trigger a recommendation notification in Advanced recommendations for Rightsizing
- Trigger a recommendation notification in Advanced recommendations for Reservations
- Trigger a notification in Other recommendations
- Create an optimization schedule with resources where the up and down configuration values are set such that savings are possible
- Add a resource to an existing optimization schedule where savings are possible
Each generated task records the resource name, the optimization action applied, and the resulting cost savings. You can access generated tasks from the cost management group by clicking Tasks from the Context menu ( ⋮ ) in the Analysis section, or through Task planner under the My profile dropdown for visibility across all groups.
The Tasks summary report in Cost Analyzer provides a consolidated view of all tasks created within your cost management groups — showing task state, assignee, priority, and due dates so team leads can track work progress alongside cost data.

Permission behavior
With access: All users can create task groups, create tasks, assign tasks to other users, edit tasks, delete tasks, and reorganize the task board.
Example scenario
Your operations team is managing an Azure cost review across three subscriptions. A team lead opens task planner, creates a task group called "Cost Review" with states To Do, In Progress, and Reviewed (with Mark as complete enabled on Reviewed). They assign individual subscription reviews to three analysts with a due date set for end of week. Each analyst receives an email notification. The team lead groups the board by Task State to track overall progress, then switches to User to check individual workloads.
Limitations
- Task planner does not support bulk task creation. Tasks must be created individually.
- Due date notifications fire before the specified interval but the exact lead time is not configurable from the UI.
- You cannot delete a task state that is currently in use.
Troubleshooting

User not appearing in the task assignment dropdown
Cause: The selected module scope does not include that user.
Fix: Ensure the user has been added to the organization and has access to the selected module. Change the Module value to the correct scope. -
Overdue notification received for a completed task
Cause: The task state was not enabled with Mark as complete in the task group.
Fix: Edit the task group and enable Mark as complete on the relevant state. Update the task to that state. -
Email notification not received on task assignment
Cause: The user's notification settings may be suppressing assignment emails, or the email address on the account is incorrect.
Fix: Verify the user's email address in Users page and check notification preferences. -
Task board not reflecting the latest task state
Cause: The page may be displaying a cached view.
Fix: Refresh the browser. If the issue persists, log out and back in.

Can I create multiple task groups?
Yes. You can create any number of task groups, each with its own set of custom states. Select the appropriate group when creating a task. -
Can I delete a task state that is currently in use?
No. You cannot delete a state that is currently in use. -
Do all users receive notifications for every task, or only assigned users?
Only the user a task is assigned to receives an email notification at assignment time.
